Rent Management
The PyramidG2 Rent Management module helps social housing providers maintain a healthy revenue stream by delivering real-time intelligence on tenant arrears, rent collection, and void analysis.

Recognising that every organisation has its own approach to rent and arrears management, this module is designed with flexibility at its core. Through real-time integration with other PyramidG2 modules, user-defined fields, configurable data views, and custom reporting, the system adapts to your organisation’s established procedures, rather than forcing you to adapt to it.
Arrears Policy
The PyramidG2 Arrears Policy module enables housing providers to formalise and streamline the arrears chasing process. By following structured procedures, your team can manage hundreds of arrears cases efficiently while maintaining full compliance, providing the evidence required in court should eviction proceedings become necessary.
An arrears policy is a series of rules that define what should happen when a tenant reaches a certain level of arrears, and how long those arrears remain unpaid. For example:
More than 1 week in arrears → Send warning letter 1
More than 2 weeks in arrears → Send warning letter 2
More than 4 weeks in arrears → Send warning letter 3
2 weeks after letter 3, arrears remain → Issue notice
As tenants meet the criteria set out by the policy, the system automatically generates the relevant actions. Each step is logged against the tenant’s record, creating a detailed history of arrears management that demonstrates compliance with your organisation’s procedures.
Because every case is different, staff can intervene at any stage of the process, ensuring that vulnerable tenants aren’t sent inappropriate or unnecessary correspondence.
ASB and Complaints
The PyramidG2 ASB & Complaints module enables housing providers to log and manage anti-social behaviour cases, complaints, compliments, and comments in a single, centralised system. Cases can be raised from multiple sources, including tenants, staff, suppliers, support clients, partner organisations, or even anonymous contacts, ensuring nothing is overlooked.
Each case record captures all essential details, including instigator, subject, history, and associated contacts. Custom questionnaires allow providers to define their own questions and assign values for points-based assessments, while action templates create clear checklists with target times to guide staff through every stage. Case Management

Case workers can profile every aspect of a client’s circumstances, including personal needs, financial situation, progress status, and key contacts. To support joined-up working, the module also allows organisations to record and manage details of partner agencies, such as local councils, including addresses, contacts, and hourly rates where applicable. Incidents & Safeguarding
The PyramidG2 Incidents and Safeguarding modules provide housing providers with the tools to record, manage, and monitor incidents or safeguarding concerns in a structured, auditable way. Whether it involves a tenant, supplier, visitor, or member of the public, staff can log full case details including descriptions, individuals involved, priorities, and target resolution dates.
Organisations can configure their own incident/safeguarding types and contributing factors (such as alcohol, drugs, or offending history) ensuring the system reflects real-world challenges. Standard checklists can also be applied to cases, giving frontline staff clear steps to follow, each tagged with completion dates and responsible officers. This ensures processes are followed consistently and provides management with a transparent audit trail.
The Safeguarding module offers the same functionality but is designed for managing highly sensitive cases involving vulnerable tenants, such as those escaping abuse or living with mental health concerns. Access to these records can be restricted to authorised staff only, giving providers confidence that confidential information is protected while still ensuring that all safeguarding duties are met. Void Monitoring
The PyramidG2 Void Monitoring module enables social housing providers to manage the re-let process efficiently, minimising rent loss when a property becomes vacant. Providers can create customised Void Routes, which break the re-let process into clear stages, each with its own target completion dates. These templates can be applied to any property once it becomes void, ensuring a consistent and structured approach.
Since every organisation has its own re-let procedures, PyramidG2 allows you to build as many routes as required, tailored to your policies. Each stage can be assigned to the relevant department or team, making it easy to monitor progress and performance throughout the void period. This provides full visibility of inspections, repairs, and handovers, helping your team coordinate work and return properties to rent-paying status as quickly as possible.
To support efficiency, the module also includes optional automated notifications. Staff and external contractors can receive updates when tasks are completed, reminders for upcoming milestones, and alerts for overdue actions. The result is a streamlined, accountable process that reduces void times and safeguards rental income.
Waiting List & Allocations
The PyramidG2 Waiting List module gives social housing providers the flexibility to design and manage their own applicant points and allocation system. Applicants can be assessed against your organisation’s chosen criteria, such as points, priority status, application date, area, or specific needs (e.g. supported housing). This ensures a fair, transparent, and consistent approach to property allocation.
Once applicants are matched to available properties, all offers are automatically logged against their profile. Correspondence can be generated instantly, including letters and automated SMS, providing a complete communication history.
The applicant database captures all essential details (including income sources, waiting list category, disabilities, household composition, and more), giving staff the information they need to make informed decisions. With PyramidG2, housing providers can streamline the allocation process while maintaining a full audit trail of every application and outcome.
Landlord Management
Landlord Management provides housing teams with the tools to oversee properties managed on behalf of private landlords or local authorities. Staff can view and track which properties belong to which landlords, generate landlord statements, and record a full history of activity across each property.
This module includes integration with the financial ledgers, delivering a seamless bridge between property management and payments. Any day-to-day postings made by the housing team will immediately be available to the finance team.
Making Tax Digital
Designed to assist social housing providers who are both fully registered and partially exempt from VAT.
In April 2019, HMRC’s Making Tax Digital scheme came into effect. This means that VAT registered associations and other social housing providers will be obligated to submit their tax digitally. In response, OmniLedger developed new software that will calculate VAT and generate a file for submission to HMRC. The software is designed to assist customers who are both fully registered and partially exempt from VAT.
