Coventry Cyrenians

To support their objective to becoming a Registered Social Landlord and deliver a broader range of services, Coventry Cyrenians recognised the need for a robust foundation, one capable of managing multiple services efficiently and consistently.

Coventry Cyrenians is a charity supporting single men and women aged 16 and over who are homeless, or at risk of homelessness. The organisation provides supported housing across Coventry and Warwickshire, helping people to rebuild their lives.

The charity is more than a roof and works to empower those it supports to live as independently as possible, by providing practical support alongside accommodation. This includes helping people manage the challenges they face, including the rising cost of living.

As a charity, Coventry Cyrenians aspires to become a Registered Social Landlord over the next three years, in order to expand their portfolio of services. In reviewing their existing working practices, it was identified that many operational processes were being managed manually, using paper-based methods or spreadsheets, while the legacy system in place was limited to rent processing only.

To support their objective to becoming a Registered Social Landlord and deliver a broader range of services, Coventry Cyrenians recognised the need for a robust foundation, one capable of managing multiple services efficiently and consistently.

To initiate the project, a team of ten at Coventry Cyrenians engaged an established consultant, Tony Smith of Acutance Consulting, experienced with working with all sizes of registered providers (see blog). As part of this engagement the consultant examined requirements, matching to a shortlist of suitable modern Housing Management applications, including OmniLedger’s PyramidG2 System, to which the team reviewed fully and started the tender process.

Gary and Nicola from OmniLedger were invited to Coventry Cyrenians’ offices to deliver a demonstration of PyramidG2. During the session, they provided an overview of key areas of the system, including Rents, Repairs, Support and Waiting List functionality.

Following the demonstration, the team at Coventry Cyrenians could see how PyramidG2 could address the challenges they were facing, with questions from each department being answered. In particular, Nicola’s in-depth knowledge of the system and practical, can-do approach gave the team confidence that PyramidG2 was the right system for their organisation. As a result, Coventry Cyrenians proceeded with the implementation of PyramidG2 on a 10 concurrent licence basis, aligned to the size and needs of the team.

As with any new system implementation or adoption of new technology, Coventry Cyrenians was fully aware of the challenges involved. These primarily included:

  • Collating and transferring data into PyramidG2, as information was not held centrally
  • Managing change, as the team was accustomed to an established way of working

However, Nicola was able to allay these concerns through a series of implementation meetings. These included a detailed breakdown of project milestones, the data migration process, and training sessions designed to maximise team buy-in. The team were able to see the shortcomings of old methods and the benefits of the new way of working. During the implementation, Tony Smith assisted with extract of legacy system (WRAPP) data and supported as the project Critical Friend.

This implementation exercise also helped to highlight gaps in existing processes and data, which have since been addressed as PyramidG2 went live. Any teething issues were quickly handled by Nicola as their on-call Project Manager.

Since going live in September 2025 with the Rent Management modules, Coventry Cyrenians has seen a number of changes to its business processes, including:

  • The Waiting List module now allows staff to view applicant accommodation referrals at a glance. Previously, this information was shared informally or held in paper files.
  • PyramidG2’s non-technical interface has enabled day-to-day staff to use the system confidently, finding it easy to locate and use relevant functionality.
  • Assignments are now used to group tenant rent responsibilities, making it straightforward to generate statements in bulk.

Looking ahead, Coventry Cyrenians plans to implement the case management module, maintenance module and mobile working, enabling staff to support clients while working in the field. Support workers can then be allocated between 10 and 20 clients each, giving them clearer visibility of documentation, support plans and associated rent accounts.

With this foundation in place, Coventry Cyrenians will be well positioned to increase accessibility for local authorities and to manage a broader range of services as the organisation moves towards becoming a Registered Social Provider.
